BBA SEMESTER - 1 SPRING - 2015

PROGRAM BBA - SEMESTER 1
SUBJECT CODE & NAME - BBA 101 - COMMUNICATION SKILLS

1.  Communication is complete only when the intended information reached the receiver. What are the various barriers to communication? How can you overcome them?

Barriers to Communication

1. Language barrier : Different languages, vocabulary, accent, dialect represent national or regional barriers. Semantic gaps are words having similar pronunciation, but multiple meanings like- round; badly expressed message, wrong interpretation and inexpert assumptions.
2. Cultural barriers:  Age, education, gender, social status, economic position, cultural background, temperament, health, beauty, popularity, religion, political belief, ethics, values, motives, assumptions, aspirations, rules/regulations, standards, priorities can separate one person from another and create a barrier.

2.  How something is said carries more weightage than the words themselves. Discuss this statement and briefly explain the categories of non-verbal communication.

Explanation of statement

Stated briefly, how something is expressed may carry more significance and weight than what is said, the words themselves. Accompanied  by a smile or a frown, said with a loud, scolding voice or a gentle, easy one, the contents of our communication are framed by our holistic perceptions of their context. Those sending the messages may learn to understand themselves better as well as learning to exert some greater consciousness about their manner of speech. Those receiving the messages may learn to better understand their own  intuitive  responses–sometimes  in  contrast  to  what  it  seems "reasonable" to think.

Part  of  our  culture  involves  an  unspoken  rule  that  people  should  ignore these nonverbal elements  –  as if the injunction were, "hear what I say, and don't notice the way I say it." These elements are often ignored in school or overridden by parents.  So, the  task of incorporating conscious sensitivity to nonverbal communication is made more difficult.

3.  What  is  external  communication?  Discuss  the  various  channels  of  external communication.

External Communication

External  communication  refers  to  the  exchange  of  information  and messages  with  organizations,  groups  and  individuals  outside  it.  External communication,  therefore,  enables  the  management  of  an  organization  to keep in touch with external persons, groups and organizations. This is vital for organizations to carry out business as none of the organizations operate in  a  vacuum.  External  communication  helps  managers  in  evolving  healthy and  favorable  relationships  with  outside  contact.  In  other  words,  the objective  of  external  communication  is  to  facilitate  cooperation  with  stake holders beyond its periphery. It also helps in building a positive image of the organization and its products/services to others. External communication is needed to bring about numerous transactions

4. What groundwork does one need to do to make an effective presentation? How do verbal, vocal and visual components of communication impact a presentation?

Steps in Preparing a Presentation

There are four basic steps of making a presentation:

1. Research and Planning

Once  you  have  identified  the  purpose,  gathered  information  about  your perspective audience, and the locale or venue of your presentation, you can start  with  the  actual  process  of  planning  and  preparing  your  presentation. Planning involves research, selection of content, structuring the material you plan  to  present,  preparing for  the  presentation, and finally  presenting  it  to your audience.
Intensive and thorough research of the topic you are going to present is very essential.  Gather  all  the  information  you  can  from  various  sources  like internet, books, journals, previous case studies etc. Presume that some of your  audience  will  come  prepared  with  their  own  research  and  may  pose

5. Different purposes of reading require different methods of reading. Describe the various ways of reading. What are the techniques that you can use to improve your reading?

Types of reading
The types or ways of reading can be broadly classified into the following five categories:

1.  Scanning: It is the fastest type of reading. We use this method when we wish to find some specific information about something in a hurry. We quickly glance through the text, move our eyes quickly over the pages to look  for  relevant  words  or  phrases  that  would  give  us  the  required information  or  lead  us  to  it.  This  method  is  usually  used  for  reading particular lists, sentences, paragraphs, passages, or chapters  to locate specific information or facts related  to your query on  a particular topic or subject.

2.  Skimming  or  previewing:  In  this  type  of  reading,  your  eyes  will  go through the whole material  stopping at select portions,  but  you will not read everything in detail. This type of reading is done to get the main idea of a written work, or to quickly revise what one has already read. Students  often  skim

6. Why is employment communication a necessary weapon for employer? What should an applicant look for before he submits a resume to his prospective employer?

Importance of employment communication.

In these challenging times engaging employees in a meaningful way and managing their morale is critical for organisations meet their goals. Employee engagement is tied to productivity, business performance and employee morale.

Notable differentiators for this recession include:

Gen Y has only seen the good times. They have not encountered an economy as turbulent and negative as the one we are currently experiencing
The emergence of social media as a mechanism that links people both globally and locally in a way that has not been seen before. This means information travels faster, facts are unlikely to be ‘owned’ by a privileged few and it is an extensive and effective communication ‘enabler’.

 Program  - BBA
Semester  - 1
Subject code & name  BBA102 – ORGANIZATIONAL BEHAVIOUR

1.  Define Organization Behaviour. Discuss the Scientific Management Approach and the Contingency Approach to Organization Behaviour.

Meaning of Organization Behaviour

Organizational  Behavior  (OB)  is  the  study  and  application  of  knowledge about how people, individually  and groups  behave as individuals  as well as in  groups  in  the  organizations.  Its  main  purpose  is  to  build  better relationships  by  achieving  individual  objectives,  group  objectives, organizational objectives and at last, social objectives.

Talcott Parsons  defines  organization as,  “a social unit which is deliberately constructed and reconstructed to seek specific goals.”

2.  What are Emotions? Discuss it characteristics .

Emotions

Emotions  are  defined  as  a  complex  pattern  of arousal,  subjective  feeling and  cognitive  interpretation  involving  physiological  and  psychological  reactions.  They can also be explained as intense feelings that are  directed at someone or something (object). Emotions are often confused with moods and  affect. Affect is a broad concept and includes  a  wide range of feelings that  we  experience  under  normal  and  abnormal  circumstances.  They include  emotions.  Thus  emotion  is  a  component  of  affect.  Moods,  on  the other hand, are feelings less powerful than emotions and are not directed at
an  object.  But  they  are  related  to  emotions.  Suppose  you  were  making  a presentation  to  an  important  client.  A  colleague  begins  to  criticize  your approach. There is a heated argument. You, no doubt,  will be angry at your colleague (object). This anger is emotion.  Because of this incident, later in
the day you will experience unhappiness, dejection and hurt in general. This will not be directed at

3. What do you mean by Communication? Explain the process of Communication.

Meaning of Communication

The word communication is derived from the Latin word “commun is”, which means common.  Communication, therefore,  refers to the transmission and reception of ideas, facts, opinions, feelings, emotions and attitudes by two or more individuals. According to L. A.  Allen, ”Communication is the sum of all the things one person does  when he wants to create understanding in the mind  of  another.”  Luthan  defines  communication  as  “the  transmission  of commonly meaningful information. It is a personal process that involves the exchange  of  behaviours”.  To  Scott  it  is  as  “a  process  involving  the transmission  and  accurate  replication  of  ideas  reinforced  by  feedback purporting  to  stimulate  actions  to  accomplish  organizational  goals”.

4. Discuss the Thompson’s Conflict Management Styles

Answer:

According  to  Thompson  there  are  five  different  styles  of  conflict management. In below figure we can see that it is a two dimensional  model: i) concern for self ii) concern for others

Figure : Conflict handling style

The conflict handling strategies are chosen according to the requirement of the situation and person. Suppose we have a  conflict with  our friend,  then we will not adopt the same strategy which we will adopt with strangers.

Below are the strategies which can be adopted:

a)  Competing:  This style is highly assertive and uncooperative. This style is  power  oriented  and  includes  dominance.  Those  who  believe  in  this style  of  conflict  resolution  rely    heavily  on  punishment  to  have  control over  others.  People  use  fight,  argument  even  physical  aggression  to

5. What do you mean by a Group? Explain the characteristics and the types of Formal groups.

Meaning of a Group

Formal  groups  are  those  groups,  which  are  purposely  created  by  the management for  achieving  some  of  its  objectives.  According to  Chester  I. Barnard, it is “a system of consciously coordinated activities or forces of two or more persons.”

Characteristics of a Formal group

·         Top management, for achieving its goals, creates formal groups.
·         In  order  to  ensure  efficiency  in  all  its  operations,  the  organizational structure of formal groups is based on the principle of division of labour.
·         In formal groups, the  emphasis  is  laid  on getting  the  job  done  and  no concern is shown towards the individuals who perform these jobs.
·         Formal groups have their own hierarchies of authority and responsibility, which are to be followed by everyone in the organization.

·       6.  Write short notes on the following:
a)  Situational Leadership Model
b)  Path Goal Theory

Situational Leadership Model:

The situational leadership model was given by Hersey and Blanchard in the year  1969.  In  this  model,  on  the  basis  of  relationship  behaviour  and  task behaviour,  four  leadership styles were suggested. In  the  situational model a style  of  the  leadership  is  matched  with  the  maturity  of  the  followers.  The
maturity  of  the  follower  is  decided  by  his  ability  to  take  responsibility,  his education, willingness to do a task and capacity to set high but attainable goals.  Task  behaviour  is  all  about  the  leader‟s  organizing  capability  and coordinating  ability  so  that  a  task  can  be  accomplished.  Relationship behaviour  includes  maintaining  proper  communication  processes  and developing healthy  relationships  with subordinates by providing social and emotional support.

B . Path Goal Theory:
Path-goal  theory  was  proposed  by  R.  J.  House.   This  theory  says  that  a leader  should  motivate  his  subordinates  for  attaining  the  work  goal  by clarifying the path so that they can get personal rewards.  This can be done by removing confusion or conflicting ideas. The rewards for the subordinates
should  be  increased  and  proper  guidance  and  counseling  should  be provided  so  that  they  can  obtain  the  rewards.    In  other  words,  a  leader should analyse the situation,  the  need of the follower and task,  and provide support  ,  clear  the  path,   clarifying  the  path  so  that  follower  can   get  the rewards. For this a leader can adopt following styles:

SUBJECT CODE & NAME - BBA 103-BUSINESS ENVIRONMENT

1.  The  External  Analysis  examines  opportunities  and  threats  that  exist  in  the  environment. How is it done? What should business managers do to access the business environment?

External analysis

The External Analysis examines opportunities and threats that exist in the environment. Both opportunities and threats exist independently of the firm. The  way  to  differentiate  between  a  strength  or  weakness  from  an opportunity or threat is to ask: Would  this issue exist if the company did not exist?  If  the  answer  is  yes,  it  should  be  considered  external  to  the  firm. Opportunities  refer  to  favorable  conditions  in  the  environment  that  could produce  rewards  for  the  organization  if  acted  upon  properly.  That  is, opportunities are situations that exist but must be acted on if the firm

2. Write short notes on:
a.  Fiscal policy
b.  Monetary policy

Role and objectives of fiscal policy

Fiscal Policy is a tool, in the hands of the Government, to influence the level of  GDP  in  the  short  run,  by  using  taxes  and  Government  Spending.  It  is about bringing changes in taxes and spending,  so as to affect the demand for goods and  services  and hence the output in the short run.  The budget deficit is the difference between its spending and its tax collections. When a Government increases its spending or cuts taxes to stimulate the economy, it will increase the government’s budget deficit.

Fiscal Policy is a very important tool of  macroeconomic policy. It is also an important tool to stabilize the economy, i.e. to overcome recession and to control  inflation.  So  basically  fiscal  policies  are  a  set

B . Role and objectives of monetary policy

Monetary  Policy  is  a  tool  that  incorporates  the  actions  that  the  Reserve Bank takes to influence the level of GDP. The Reserve Bank can influence the  level  of  output  in  the  short  run,  through  open  market  operations, changes  in  reserve  requirements  or  changes  in  the  discount  rate.  These tools can be used to form a suitable monetary policy during the times of both recession  and  inflation.  The  aggregate  demand  can  be  raised  during recession time by adopting an expansionary or easy monetary policy while it can be used to control inflation through a contractionary or tight monetary

3.  What is a mixed economy? Discuss the merits and demerits of mixed economy.

Mixed economy

A mixed economy is an economy which combines the elements  of both the capitalist  and  the  socialist  economies.  It  attempts  to  combine  the  best features  of  both  capitalism  and  socialism  while  excluding  the  demerits  of both.

Depending upon the nature of government intervention, we can differentiate between two types of mixed economies. In one form of mixed economy, the government  tries  to  control  and  regulate  the  private  sector  through  its policies  of  taxation,  public  expenditure,  bank  rate,  labour  laws,  etc.

However,  the  government  does  not  directly  undertake  production  activity. This type of mixed economy exists in most of the developed countries such as the USA, UK, etc.  The second type of mixed

4.  Write  a  note  on  the  three  pillars  of  free  economy  namely  liberalization,  privatization  and globalization.

An ideal free and open economy is based on three principles which are as follows:

Liberalization:  The  process  of  liberating  the  economy  from governmental regulations  and  control  is  known  as  Liberalization.  This  results  in  greater freedom  for  private  enterprise  that  leads  to  faster  economic  growth.  Over the last two decades, India has witnessed  a gradual liberalization in many major  sectors  such  as  industry,  infrastructure,  banking,  capital  market, services and foreign  trade. Liberalization allows flexibility and reduces cost. The process of liberalization is characterized by the following features:

5.  Describe the corporate social responsibility of business houses towards human resources with an example of an Indian Company.

Business  is  an  activity  of  making,  buying  or  selling  goods  or  services  for money. “Social responsibility” means to serve the people or the community without  expecting  anything.  Business  is  meant  to  create  wealth,  new markets,  provide  employment  and  produce  enough  goods  to  sustain  its activities  and  to  improve  its  competitiveness.  Society  should  provide  an environment  for  the  business  to  grow  and  prosper  which  will  allow  the investors  to  earn  money.  The  survival  and  the  growth  of  the  business depend  upon  society.  Resources  like  people,  services,  raw  materials  and

6.  Explain the Indian economy with reference to the service sectors like Education and Health care.

Service Sector

The  Services  sector  is  the  largest  contributor  to  the  country's  GDP  (more than half of India’s GDP). It has maintained a steady growth since 96-97, except  for  a  fall  in  2000-2001  which  was  because  of  the  global  dot  com bubble  bursting.  India  has  the  title  of  being  the  world’s  second  largest fastest  growing  economy,  in  the  services  sector  in  particular.  This  growth has been fuelled by a growing urban middle class, largely English speaking, which in turn has given rise to the growth in back-office operations such as call centers. The outcome of economic liberalization that began in 1991 is most significant in the services sector. Due to the services sector, the tax revenue has seen an increase of

1.  What do you mean by Measures of Central Tendency? Explain the Measures of Central Tendency.

Meaning of Measures of Central Tendency

The most important objective of statistical analysis is to determine a single value  for  the  entire  mass  of  data,  which  describes  the  overall  level  of  the group of observations. It is a single figure and  describes  the entire series of observations  with  their  varying  sizes.  A  single  number  describing  some features of a frequency distribution is called descriptive  statistics. There are various ways in which frequency curves can differ from one another.   Even though  the  „general‟  shapes  of  the  curves  are  the  same  (the  area  under them  is  already made equal  by the strategy of plotting the percent density), the  details  of  the  shape  may  change.  Below figure shows  the  curve  B  has  a smaller

c) Bar Chart
d) Histogram
e) Frequency polygon

Cumulative frequency distribution

The above tells us the number of units in each class interval, it does not tell directly the number of units that lie below or above the specified values of the  class  intervals.  This  can  be  determined  from  a  „cumulative  frequency distribution‟.  The  cumulative  frequency  distribution  is  a  modified  form  of
frequency distribution, as shown in below table. In a given row, the value of the last column is the cumulative value of the frequencies shown in its last but one column up to that value.

Table : Cumulative Frequency Distribution

Pie Chart

Pie  chart  is  a  circle  whose  area  is  divided  proportionately  among  the different  components  by  straight  lines  drawn  from  the  centre  to  the circumference of the circle. 3  a. Explain the methods of determining trend in time series.

Answer:

There are four possible methods of secular trend which are the following:

1.  Free hand method or graphic method
2.  Semi-average method
3.  Moving average method
4.  Least square method of fitting mathematical curves

Free hand method or graphic method

In free hand  method the  given  data are  plotted as points on a graph  paper against  time.  The time series data (y) are shown along the  vertical axis  and time  (t)  along  horizontal  axis.  Then  a  smooth  free  hand  curve  is  drawn through the scatter of the plotted points, appearing to represent their pattern of  movement over time.  This method gives us a quick estimate of  the trend value and  can be  used to  obtain a  preliminary knowledge  of the nature of the  trend  value  and  an  approximate  value.
